Privacy Policy
This notice explains how I collect, use and protect your personal information when you visit this website, contact me or work with me in therapy.
Who I am
I'm Gaia Gambacciani, a person-centred psychotherapist in training, working as Gaia Therapy in Putney, London and online. I am the data controller for the information you share with me. [ICO registration number: ZB857700] You can contact me about your data at gaiatherapy@outlook.com.
What I collect
Contact details: your name, email address and phone number.
What you choose to tell me in the contact form, including why you're seeking therapy.
If we work together: brief session notes, appointment dates and payment records.
Basic website data such as cookies and anonymous visit statistics collected by Squarespace.
What you share about your mental or physical health is "special category" data under UK GDPR, and I treat it with extra care.
Why I use it, and on what basis
To reply to your enquiry and arrange a call or session (taking steps at your request before a contract, and your explicit consent for health information you share).
To provide therapy and keep appropriate clinical records (contract, and health or social care purposes).
To take payment and keep financial records (contract and legal obligation).
To discuss my work anonymously in clinical supervision and training, as required by my professional ethical framework. I never share your name or identifying details there.
Who I share it with
I never sell your data. I share it only with services that help me run my practice: [Squarespace (website and form), Cal.com (booking), my email provider, my payment provider, my notes storage]. I would only share identifiable information with anyone else if the law requires it, or if I believe there is a serious risk of harm to you or someone else, and where possible I'd talk to you first.
How long I keep it
Enquiries that don't lead to therapy are deleted within 3 months. Client records are kept securely for 3 years after our work ends, in line with professional and insurance guidance, then destroyed.
How I keep it safe
Records are stored on encrypted, password-protected devices. I don't keep paper notes.
Your rights
You can ask to see the information I hold about you, have it corrected or deleted, restrict or object to how I use it, or withdraw consent at any time. Email me at gaiatherapy@outlook.com. If you're unhappy with how I've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
